General Conditions of Participation

These general conditions govern registration for and participation in the activities, workshops and events organised by Swole NPO. By registering, the participant (or their legal representative if a minor) acknowledges having read them and accepts them without reservation.

1.Organiser

2.Registration

• Registration is made online via beswole.be and is only final after validation (and, where applicable, payment).
• The participant undertakes to provide accurate information (surname, first name, e-mail, phone). Any error may prevent receipt of the ticket or access to the event.
• A single registration may cover several people (group/family ticket); the holder remains responsible for all participants attached to their ticket.
• Places are limited. An activity shown as sold out no longer accepts registrations.

3.Price and payment

• Prices are shown in euros (EUR), all charges included, on each activity page.
• Online payment is processed securely by Stripe. No banking data is stored by Swole NPO.
• Some activities may offer payment on site or a promotional code; the terms are specified at registration.

4.Ticket and access to the event

• After confirmation, an electronic ticket with a QR code is sent by e-mail and made available online.
• This ticket is personal. The QR code allows access control at the entrance.
• Presenting the ticket (screen or printout) is mandatory at the entrance. Without a valid ticket, access may be refused.
• For a group ticket, the number of people admitted may not exceed the number of places purchased.
• The organiser reserves the right to verify identity and to refuse access in the event of an invalid, duplicated or fraudulent ticket.

5.Cancellation and refund

• Unless otherwise stated on the activity page, tickets are neither exchangeable nor refundable.
• If the event is cancelled by the organiser, participants are informed by e-mail and refunded according to the terms communicated.
• The organiser may change the date, time or venue for organisational reasons; participants are informed as soon as possible.

6.Conduct and safety

• Each participant undertakes to respect the rules of the venue, the safety instructions and the directions of the supervisors and volunteers.
• The organiser may exclude, without refund, any person whose behaviour is dangerous, violent, disrespectful or contrary to the values of the association.
• Minors remain under the responsibility of their legal representative, unless supervision is explicitly provided for the activity.

7.Image rights (photos, videos, television, press)

Events may be photographed and filmed, including by media partners, television channels and the press. By taking part, you authorise Swole NPO and its partners to capture, reproduce and distribute your image (photos and videos) on any medium (website, social media, television, press, promotional material), in Belgium and abroad, without limitation of duration and without financial consideration.

If you do not wish to appear, please let us know in advance at info@beswole.be and speak to the organising team on site (for example so you can be placed out of shot). For minors, this authorisation is given by the legal representative.

8.Liability

• Participation in the activities is at the participant s own responsibility. It is up to them to ensure that their state of health is compatible with the activity (in particular for sports activities).
• Swole NPO may not be held liable for theft, loss, or material or bodily damage arising from the participant or a third party.
• The organiser s liability may not be invoked in cases of force majeure (bad weather, strike, administrative decision, etc.).

9.Personal data

The data collected at registration is used solely for managing participation and for communication related to the event. It is processed in accordance with the GDPR. For further details and to exercise your rights, see our privacy policy.

10.Applicable law

These conditions are governed by Belgian law. In the event of a dispute, an amicable solution will be sought as a priority; failing that, the courts of the Brussels district shall have jurisdiction.
